By default, Word 2007 documents are saved in a new file format that is unreadable by older versions of Word. This new format is called dot D O C X. If a Word 2007 document is opened on a machine with a previous version of Word, a file conversion menu will open and show the unreadable text. Microsoft does provide a few methods for resolving the incompatibility issues between Word 2007 and the older versions, though. To save a document in the previous Word format, simply click the Office Button located in the upper left corner of the window and hover your mouse over save as. There will be an option to save the document in the dot D O C X format on top, as well as an option to save the file as a Word ninety-seven through two thousand and three document. For those using older versions of Word, Microsoft does provide a compatibility pack for download on their website. This patch will allow older versions of Word to easily open, edit, and save files in the new Word 2007 file format.

Two of the most significant changes to Office 2007 from previous versions are the addition of the Office Button and Ribbon. Located in the top-left hand corner of the window, the Office Button replaces the file menu from the previous versions of Word. The Office Button also incorporates new features into Word 2007, including the ability to save as a PDF, publish to a blog, and incorporate new templates, just to name a few. To the right of the Office Button is the Quick Access Toolbar. By default, this toolbar contains the Save, Undo, and Redo buttons, but it is possible to customize this toolbar to fit individual preferences. Additional commands can be inserted by clicking the Customize Quick Access Toolbar button. Located directly below the Office Button and Quick Access Toolbar, the Ribbon is a graphical representation of the available command buttons in Word. All of the buttons are grouped together by relevance and organized into tabs. The Ribbon replaces the traditional toolbars and drop-down menus found in previous versions of Word. When not in use, it is possible to hide the Ribbon from view by double clicking on any of the tab headers. To bring back any menu temporarily, single click on the desired tab header. To bring the Ribbon back, double click on any of the tab headers again. It is also possible to add commands to the Quick Access Toolbar from the Ribbon by right clicking the command and selecting Add to Quick Access Toolbar.

Welcome to Office 2007 training. In this section we will cover the locations of commonly used menus and commands within the new Ribbon structure. The File Menu of previous versions of Word, which included popular commands such as New, Open, and save, has now been replaced with the Office Button. The new Office Button is covered in more detail in the video titled “Office Button and Ribbon”. The commands that were located in the Edit menu have been split up into two locations. The Undo and Redo commands are now found in the quick access toolbar, located next to the Office Button. Other commands from this menu, such as Copy, Paste, Find, and Replace, are now found in the Home tab. The View and Insert menus have been replaced with tabs that are also labeled View and Insert. The Page Layout tab takes the place of the previous Format Menu, and the Table Menu has been reduced to a command within the Insert tab. The Menu that has undergone the most change is the Tools Menu. Two of the most popular features of this menu were Spelling and Grammar, which can now be found in the Review tab, and Mail Merge, which is now located in the Mailings tab. If there is a specific command that you are unable to locate, Microsoft has included a small download on their website that will help to guide you to the new location. This download can be reached by clicking the question mark icon in the upper right hand corner of your Word 2007 window, then selecting “what’s new”, then “Download get-started training for the 2007 Microsoft Office system.” In this document you will find links for the Word, PowerPoint, and Excel versions of the download.
